This Privacy Policy explains how InspectorBinder (the “Service”) collects, uses, discloses, and otherwise processes information. InspectorBinder is operated by StudyPlanIt (“InspectorBinder,” “we,” “us,” or “our”).

This policy applies to information processed when you visit our public website, create an account, use the InspectorBinder application, upload documents, configure reminders, or otherwise interact with the Service.

1. Information We Collect

1.1 Information you provide

  • Account and profile information: email address; password (stored in encrypted/hashed form); language/locale and time zone preferences; and account status information (e.g., confirmation status, trial/subscription status).
  • Sign-in via Google (optional): if you choose “Continue with Google,” we receive information from Google such as your email address and a Google account identifier (and, depending on your Google settings, possibly basic profile information).
  • Organization and location information: organization name; location name; business address (street, city, state, ZIP); and time zone.
  • Compliance tracking information: compliance item titles, categories, due dates, frequency/renewal settings, status, and related notes/metadata you provide.
  • Documents and files you upload: documents you attach to compliance items (for example, permits, certificates, inspection reports, invoices). Uploaded files may contain personal information (e.g., employee names, license numbers) depending on what you upload.
  • Reminder settings: reminder time, reminder offsets (e.g., 60/30/14/3 days), weekday-only settings, digest settings, and selected delivery channels (email and/or SMS).
  • Communications: information you include when you contact us (for example, emails to support or privacy inquiries).
  • Phone number (if you enable SMS): if you choose to receive SMS reminders, we will collect the phone number you provide, your consent/opt-in status, and message delivery information.

1.2 Information collected automatically

When you visit our website or use the Service, we (and our service providers) may automatically collect:

  • Device and usage information: IP address, browser type, device identifiers, operating system, pages/screens viewed, timestamps, referring URLs, and interactions with the Service.
  • Cookies and similar technologies: session cookies and other technologies used for authentication, security, preferences, and analytics.

1.3 Information from third parties

  • Payment processing (Stripe): when you purchase a subscription or manage billing, our payment processor (Stripe) processes payment information. We receive limited billing-related information such as customer and subscription identifiers and subscription status. We do not store full card numbers on our servers.
  • SMS delivery (Twilio): if you enable SMS reminders, Twilio processes your phone number and message content as necessary to deliver messages, and provides delivery status information.
  • Authentication providers (Google): if you use Google sign-in, we receive information from Google as described above.

2. How We Use Information

We use information for the following business and commercial purposes:

  • Provide and operate the Service: create accounts, authenticate users, maintain sessions, and provide core compliance tracking features.
  • Document storage and organization: store and display your uploaded documents and associated compliance metadata.
  • Reminders and notifications: send due-date reminders and operational notices via email and (if enabled) SMS.
  • Billing and subscription management: manage subscriptions, payments, and customer billing portals via Stripe.
  • Improve and develop the Service: understand usage, troubleshoot, test, and improve features.
  • Security and fraud prevention: protect accounts, prevent abuse, and enforce our terms and policies.
  • Legal and compliance: comply with applicable law and respond to lawful requests.

3. How We Share Information

We may share information as follows:

  • Service providers: with vendors that help us operate the Service (e.g., hosting/infrastructure providers; email delivery providers; Stripe for payments; Twilio for SMS; Google services for analytics and address autocomplete; and AI providers for compliance plan generation). These providers process information on our behalf, subject to contractual and/or legal restrictions.
  • Within your organization: if multiple users share an organization account, information may be visible to users you authorize within your organization.
  • At your direction / sharing features: if you choose to share compliance information or documents with third parties (for example, by showing documents during an inspection or using a sharing/QR feature if enabled), information will be shared as you direct. Please share carefully.
  • Legal, safety, and rights: if we believe disclosure is required by law or necessary to protect rights, safety, and security of InspectorBinder, our users, or others.
  • Business transfers: in connection with a merger, acquisition, financing, reorganization, or sale of assets, subject to standard confidentiality protections.
  • Aggregated or de-identified information: we may share information that does not identify you.

4. Cookies, Analytics, and Similar Technologies

We use cookies and similar technologies (such as local storage and pixels) to operate the Service, remember preferences, and understand usage. You can control cookies through your browser settings. If you disable cookies, some features may not function properly.

4.1 Google Analytics (public pages)

We use Google Analytics on certain public/marketing pages to understand website traffic and improve the site. Our logged-in application pages may use different instrumentation and may not run Google Analytics in the same way. Google may set cookies and collect usage information as described in Google’s policies.

5. Google Services (Analytics, Maps, YouTube)

  • Google Maps Platform (Places API): we use Google’s Places Autocomplete to help you enter business addresses faster. Address input may be sent to Google as you type or select suggestions, subject to Google’s terms and privacy policies.
  • YouTube embeds: our website may embed videos hosted by YouTube. Interactions with embedded content may result in data collection by YouTube/Google.

6. Generative AI / Compliance Research (Gemini)

InspectorBinder offers an optional feature that can generate a compliance plan/checklist for a location using a third-party generative AI provider (Google Gemini). When you use this feature, we may send information such as the location city/state and questionnaire responses (e.g., whether alcohol is served, food truck status, outdoor seating) to the AI provider to generate results. The AI provider may use tools (such as web search) to help produce the output.

Please do not include sensitive personal information in free-text fields unless it is necessary for your use of the Service. Generated outputs are for informational/organizational purposes and should be verified against official sources.

7. Email + In‑App Notifications

We send transactional emails (such as confirmation emails, password reset, subscription notices, and due-date reminders) and in-app notifications. You may not be able to opt out of essential transactional messages, but you can manage certain reminder settings within the Service.

8. Text (SMS) Notifications

SMS reminders are intended to be transactional (e.g., due-date reminders and service-related notices), not marketing messages. If you enable SMS reminders, you consent to receive text messages from or on behalf of InspectorBinder at the phone number you provide.

  • Provider: We use Twilio to send SMS messages.
  • Message frequency: Varies based on your reminder settings and compliance due dates.
  • Charges: Message and data rates may apply.
  • Opt-out: Reply STOP to cancel SMS messages. You may receive a final confirmation message.
  • Help: Reply HELP for assistance or email us at [email protected].
  • Consent: Consent to receive SMS messages is not a condition of purchase.
  • Delivery: Delivery of SMS messages is not guaranteed and may be affected by your carrier or device.

9. Data Retention

We retain information for as long as necessary to provide the Service and for legitimate business purposes such as complying with legal obligations, resolving disputes, enforcing agreements, and maintaining security. In general, we retain your account and content while your account is active. If you request deletion, we will delete or anonymize information from our active systems within a reasonable period, subject to legal requirements and standard backup/archival cycles.

10. Security

We use reasonable administrative, technical, and organizational safeguards designed to protect information. However, no system is completely secure. You are responsible for maintaining the confidentiality of your account credentials.

11. Your Choices and Privacy Rights

11.1 Account settings

You can update certain account preferences (such as language and time zone) within your account settings. You can also manage reminder preferences per location.

11.2 Email and SMS preferences

You can manage reminder delivery preferences in the Service. To stop SMS messages, reply STOP as described above.

11.3 U.S. state privacy rights (including California)

Depending on where you live, you may have rights to request access to, deletion of, or correction of your personal information, and to opt out of certain processing (such as targeted advertising) where applicable. We do not sell personal information.

11.4 EEA/UK privacy rights (if applicable)

If you are located in the EEA/UK, you may have rights under applicable data protection law, including rights of access, rectification, erasure, restriction, portability, and objection. Our legal bases for processing may include performance of a contract, legitimate interests, and compliance with legal obligations.

12. Children’s Privacy

The Service is not directed to children, and we do not knowingly collect personal information from children under 13 (or other age as required by local law).

13. International Transfers

We are based in the United States and may process and store information in the United States and other locations where our service providers operate. Where required, we use appropriate safeguards for cross-border transfers.

14. Changes to this Policy

We may update this Privacy Policy from time to time. We will update the “Last updated” date above and, if changes are material, provide additional notice as required by law.
